Terms of Service

These Terms govern your use of services provided by HRGC Mentors LLC, a US-based IT solutions, education consulting, and project assessment firm. By engaging our services you agree to these Terms.

1. Services

HRGC Mentors LLC provides IT infrastructure consulting, cloud migration, cybersecurity consulting, education program development, project assessment, and digital transformation advisory. All deliverables, timelines, and fees are confirmed in a written proposal before work begins.

2. Eligibility

Services are available to businesses, institutions, and individuals aged 18 or older. By engaging us you confirm all information provided is accurate and complete.

3. Proposals & Agreements

All engagements begin with a written proposal outlining scope, deliverables, timeline, and pricing. Work does not commence until the proposal is accepted in writing. Changes to scope require a written change order agreed by both parties.

4. Payments

All fees are in US Dollars (USD). Payment terms are specified in each proposal. Late payments may incur interest at 1.5% per month. We reserve the right to suspend work on overdue accounts.

5. Intellectual Property

Upon full payment, clients receive a license to use deliverables as specified. HRGC Mentors LLC retains rights to underlying methodologies, frameworks, and tools.

6. Confidentiality

Both parties agree to keep confidential all non-public information shared during the engagement. This obligation survives termination for three years.

Either party may terminate with 14 days written notice. Client owes payment for all work completed to termination date. Prepaid amounts for undelivered work are refunded pro-rata.

9. Governing Law

Governed by US federal law and the laws of the state in which HRGC Mentors LLC is registered. Disputes resolved through binding arbitration under AAA Commercial Rules.

Refund Policy

HRGC Mentors LLC is committed to fair, transparent, and flexible billing. Every engagement is custom-scoped, so refund eligibility is communicated clearly in writing before any payment is made.

1. Our Flexibility Commitment

If you are unsatisfied, contact contact@hrgcmentors.com before requesting a formal refund. We can often offer scope adjustments, partial credits, or phased delivery at no extra cost.

2. Project-Based Engagements

• Cancelled before work commences: Full refund minus a 10% administrative fee.
• Cancelled after work begins: Pro-rata refund of unused portion less completed work.
• Completed and delivered work: Non-refundable unless deliverable demonstrably failed to meet agreed scope — contact us within 7 days.

3. Retainer & Ongoing Engagements

Cancellable with 14 days written notice. Unused hours refunded at the pro-rata rate. Completed work is non-refundable. We’ll always try to resolve dissatisfaction before processing a refund.

4. Extra Flexibility Situations

• Documented medical emergencies affecting the primary client contact
• Force majeure events preventing engagement continuation
• Technical failures on our end preventing service delivery
• HRGC Mentors LLC demonstrably failing to meet agreed scope

5. How to Request a Refund

Email contact@hrgcmentors.com with your name, organization, engagement date, and reason. We respond within 2–3 business days. Approved refunds processed within 5–10 business days.

Privacy Policy

HRGC Mentors LLC respects your privacy. This Policy explains data collection, use, and your rights under US law including CCPA.

1. Information We Collect

• Identity & Contact: Name, email, phone, organization, job title.
• Project Information: Technical details and materials shared during engagements.
• Usage Data: Anonymized website analytics for service improvement only.

2. How We Use It

• To deliver and improve our consulting services
• To prepare proposals, invoices, and project reports
• To communicate about projects and inquiries
• To comply with applicable US legal obligations

3. Data Sharing

We do not sell, rent, or trade your information. Data shared only with service providers under strict agreements. We disclose only when required by law.

4. Your Rights (CCPA)

• Right to Know: Request a copy of data we hold.
• Right to Delete: Request deletion of your data.
• Right to Opt Out: We don’t sell data, but you may request removal from communications.
• Right to Non-Discrimination: Exercising rights won’t affect your service.

5. Data Retention

Project and client data retained up to 5 years after engagement completion for legal purposes, unless earlier deletion is requested.

Material changes communicated via email 14 days before taking effect.
